Overview
I recently upgraded the phone systems in my company to better meet the needs of my staff. Ideally, this change would prioritize our customers, but that wasn't the reality. Our previous system had more extensions than available lines, created with the expectation that internal communication would surpass external calls. As our business predominantly operates online, and phone transactions are minimal, the system from the late '90s served us well until it didn’t. Recently, vendors, who usually contacted me by phone, switched to emails, frustrated by their inability to reach me.
The Issue
The root of the problem was that employees were spending excessive time on personal calls instead of professional ones. While I understand that occasional personal calls are unavoidable?"whether a child is sick or a car needs repairs?"the volume of personal communication was beyond acceptable limits. This was reflected in our hefty phone bills.
The Solution
To address these issues, I implemented a new phone system that offers a dedicated line for every extension, including mine. This ensures vendors and others can reach me whenever necessary. The upgraded system also includes new functionality: outgoing calls require a personal code entry. This tracks the numbers dialed and time spent on calls, allowing us to compare these logs with our phone bills. Employees must mark non-business calls monthly and cover the costs themselves. As a result, both call times and phone bills have significantly decreased.
